OneDrive Storage Full? How to Free Up Space Without Losing Files

By · October 28, 2026 · Updated October 28, 2026

OneDrive cloud storage is different from disk space on your computer. ‘Free up space’ in File Explorer or Finder can remove local copies without reducing your OneDrive cloud quota. Here’s how to identify which storage is full and clear it safely.

Before you start: Save your work and back up important files before changing system or cloud settings. Menu names may differ between releases.

Step 1. Check OneDrive cloud usage

Sign into OneDrive and open Settings → Manage storage or your account’s storage overview. Work and school accounts may display quota details differently.

Step 2. Identify large cloud files

Browse OneDrive on the web and sort by Size where available. Inspect videos, archives and obsolete backups.

Step 3. Review the Recycle Bin

Deleted items may continue using storage until removed from the recycle bin, depending on account and service rules. Check for needed files before permanent deletion.

Step 4. Download important files before removal

If you plan to remove cloud-only files, download copies to another safe location and verify they open. Deleting synced files can delete them on all linked devices.

Step 5. Remove genuinely unnecessary cloud files

Use OneDrive on the web to delete files you no longer need. Check shared folders and ownership first.

Step 6. Understand Files On-Demand

In Windows File Explorer, right-click a OneDrive file and choose Free up space to remove its local copy while keeping it in the cloud. This does not increase cloud storage.

Step 7. Stop backing up unneeded folders carefully

Review OneDrive folder backup settings. Understand where Desktop, Documents and Pictures are stored before changing backup settings.

Step 8. Check Outlook and shared Microsoft storage

Consumer Microsoft storage can also be affected by Outlook attachments and other services, depending on your plan. Follow the storage summary rather than guessing.

Step 9. Confirm the quota has changed

Check the OneDrive storage usage again after changes; updates may not appear immediately. If storage is managed by an organization, ask the administrator about quota policies.

Step 10. Prevent future problems

Use consistent file naming, archive important files outside of OneDrive with verified backups, and review large files periodically.

Frequently asked questions

Will these steps delete personal files? The initial checks do not require deleting personal data. Where cleanup or reset is involved, confirm backups and the effect on synced files before proceeding.
